Paper Submission

• All submissions must be written in English.
• Submitted papers must present original, unpublished research and must not be under review elsewhere.
• All papers must be submitted electronically in PDF format through the official submission portal.
• The maximum length of a full paper is 6 pages, including text, figures, tables, and references.
• Authors are encouraged to utilize the allowed page limit effectively to clearly explain their work.
• The conference proceedings will be submitted for inclusion in the IEEE Xplore® Digital Library, subject to IEEE approval.

Manuscript Preparation

• Manuscripts must be prepared in double-column, single-spaced IEEE conference format.
• Authors must use the official IEEE conference templates (LaTeX or MS Word) available at: https://www.ieee.org/conferences/publishing/templates.html
• Both source files (Word/LaTeX) and a PDF file are required upon submission.
• The content of the source file and the PDF file must match exactly.
• File size must not exceed 10 MB.
• All authors must be listed in both the source file and the PDF file.
• Manuscripts should be thoroughly reviewed for grammar and clarity before submission.
• Papers with poor language quality may be rejected without review.
• Authors are encouraged to check manuscripts using Paperpal Preflight (IEEE partner) prior to submission.

Ethics, Originality, and AI Disclosure

• All submissions will undergo a mandatory plagiarism check as per IEEE policies.
• Papers with a similarity index ≥ 30% are liable to be rejected without further review.
• The use of AI-generated content must be disclosed in the Acknowledgements section.
• Sections containing AI-generated text must include a proper citation of the AI tool used.
• Author lists must strictly adhere to IEEE authorship guidelines.
• Contributors not meeting authorship criteria must be acknowledged appropriately.
• Adding or removing authors after paper acceptance is not permitted and constitutes a breach of publishing ethics.

Review Process

• All submissions will be evaluated through a single-blind peer-review process.
• Reviews will be conducted by the Technical Program Committee.
• Evaluation criteria include:
  • Originality
  • Technical quality and depth
  • Relevance to conference themes
  • Clarity of presentation
  • Significance of contribution

Registration, Presentation, and Publication

For an accepted paper to be included in the conference proceedings and submitted to IEEE Xplore®, the following conditions must be met:

• Submission of the final camera-ready paper
• Completion of the IEEE copyright transfer
• Payment of at least one full author registration per paper
• Presentation of the paper at the conference (provision for online presentation for international and out of state participants)
• Each accepted paper requires a separate registration.
• Authors must incorporate reviewers' comments and submit the final revised manuscript within the specified deadline.
• All the presented papers will be available in the IEEE explorer and the extended version of the selected papers will be considered for the possible publication in IEEE IAS journal

Specific instructions regarding camera ready submission to ICNGIS 2026 are as follows:

Step 1: Final Camera-ready paper preparation

1. Please follow the IEEE two-column A4 size standard conference format for preparing your final manuscript. For more details, please visit the IEEE Templates page: IEEE Templates.
2. Revised Version: Revise your paper based on reviewers’ comments/suggestions. Authors are responsible for ensuring that the reviewers’ and meta-reviewers’ comments are addressed in the final manuscript. The reviewer’s comments are available on the same Microsoft paper management site: Reviewer Comments.
3. Use good resolution images and diagrams. The resolution should not be too low or too high. A resolution of 300 dpi is recommended in ICNGIS2026. Don’t insert page numbers in your paper. Check to avoid any further typos, grammatical errors and verify the tables & figures for correct captions. Ensure quality of everything by taking a printout of the paper and crosschecking.
4. The maximum page limit is six pages, including references. Do not include author biography at the end.
5. Similarity with other papers should be low (a similarity index below 30% excluding reference & individual similarity not greater than 10% with other papers is generally acceptable). The maximum file size allowed is 3 MB, and the file format should be PDF (.pdf) without encryption or passwords.

Step 2: IEEE Copyright Notice

An appropriate copyright notice has to appear at the bottom of the first page, left column, about 0.5 cm below the left column, and it should be aligned to the left with the same left margin as the column. It is also possible to replace the copyright notice in the camera-ready paper template. The copyright notices are as follows:

For papers in which all authors are employed by the US government, the copyright notice is: U.S. Government work not protected by U.S. copyright

For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is: 979-8-3195-2457-7/26/$31.00 ©2026 Crown

Please choose the correct copyright notice applicable to you.

If you are using LaTeX IEEEtran class, the following script must be placed before the \begin{document} statement, which may be helpful to insert the copyright notice in the adequate place. Please note that the code is not tested with all latex software versions.

Step 3: PDF eXpress check

After revising your paper, pass it through PDF eXpress using conference ID: 71873 at the following URL: PDF eXpress. If you do not have an account, click on the link “Create Account” and provide your information (email address and password).

Step 4: Renaming your PDF File for Submission

The certified acceptable file that you receive from the PDF eXpress will be given a filename in the form 0123456.pdf. Please rename this pdf file to conform to the following naming convention: PIDXXXX.pdf, where XXXX is the paper ID of your paper in Microsoft CMT. For Eg: If the CMT paper ID is 10, the file received from pdf express should be renamed to PID0010.pdf

Step 5: Camera-ready Paper Submission

After step 4, submit the paper through the author console in CMT. Please note that you are expected to retain the original paper’s title in the final version, and the author list and order cannot be changed in the final manuscript.

Step 6: Submission of the IEEE electronic copyright form

IMPORTANT: Ensure that all authors have registered in CMT with their correct names and contact emails. IEEE e-copyright takes information from CMT, and any discrepancies with the names mentioned in the paper may result in the submission being removed from the conference publication and not uploaded to IEEE Xplore. Submitting e-copyright is a one-time process and cannot be corrected. For corrections, authors must contact IEEE directly; the conference cannot assist in this regard.

After uploading the final camera-ready paper (which must have passed PDF Check in IEEE PDF eXpress), click on the ‘Submit IEEE Copyright Form’ link to access the IEEE Copyright Form Submission CMT page. When you can click on the IEEE copyright website link, you will be redirected to the IEEE eCF site to submit the copyright form. After completing the IEEE Electronic copyright form and copyright agreements, you will be able to download the completed IEEE Copyright Form (the corresponding author will also receive the copyright form via email). Please upload it to the same page in CMT or use the ‘drop files here’ menu. The corresponding author may submit the copyright form for all the authors of the paper.
